Sample approval should create an unambiguous reference for the next stage. A short message saying “approved” is not enough when several product and packaging decisions are involved.

Identify the sample precisely

Record the style code, sample type, color, size, date and revision. If multiple samples are reviewed, state which one represents the approved direction.

Review construction and appearance

Check the visible silhouette, cup and wing construction, straps, closure, trims, stitching and overall workmanship against the agreed brief.

Record fit and measurement feedback

Use the agreed measurement method and identify who evaluated the sample. Separate required corrections from general comments.

Confirm color and brand elements

Record the approved color reference, label artwork, logo placement, hangtag and any packaging elements included in the sample review.

Close every open point

List conditions that remain unresolved and who is responsible for the next action. Bulk order confirmation should refer to the approved sample and the final written specification together.
